Melon allows you to quickly access and download invoices directly from your Melon account!
There are two types of invoices to be aware of:
Corporate Traveler Invoices - Invoices or receipts for Melon bookings will be emailed once a trip is confirmed if this setting is configured by your company's administrators. The recipients of these emails also vary based on your company's configuration settings.
Supplier invoices - Depending on your company configuration and payment methods you may be required to settle your reservations directly with the hotel/car rental company! These include Pay Later hotel rates, car rentals or flight changes made directly with the airline. In these instances the hotel or car rental company should supply you with an invoice directly upon completion of your stay/rental period.
Please note: If it is a supplier invoice you require, you will need to contact the supplier directly. Simply provide them with the supplier confirmation number from your itinerary.
How to view and download your Melon invoices
Users with Admin permissions or Self-Assign Travel Arranger permissions will be able to access Corporate Traveler invoices directly in Melon.
You can access your invoices either via the My Trips tab (perfect for downloading a singular invoice or for accessing your invoices via Melon Mobile) or via My Account (ideal if you need to download multiple invoices).
Accessing your invoices via My Account
Open the Main Navigation Menu and select My Account
Select the Invoices tile to view all invoices for your trips
Use the filters along the top to find the specific invoice you need, these include narrowing down your options by:
Invoice dates
Trip Type - Flight, Hotel, Car Hire or Rail booking
Date of Travel
Self-assign Travel Arrangers and Melon Admins: You will have access to additional filters such as the option to narrow down by Traveler Group or by traveler.
Select the invoices you wish to require (you can select one or multiple), then click Download Invoice.
Accessing your invoices via My Trips
Open My Trips, then select the required trip tile
You will now be taken to your full trip itinerary where you can select Download Invoice.
To download your invoice via Melon Mobile, simply follow these exact same steps in the app!
Please note: There will be a few instances where an invoice is not available to download - this may simply be that the invoice has not yet been generated or the trip was invoiced prior to this update. In these cases the Download Invoice button will be greyed out and you will need to contact your Travel Manager directly to request the invoice.
