Viewing and Managing Invoices in the Admin Portal

As a Melon administrator, you have full visibility into your company's travel invoices directly from the Admin Portal, including invoice types that are not available anywhere else in Melon.

Where to Find Invoices

Navigate to the Admin Portal, then select the Invoices tab. There you will find two dedicated tabs for invoice management.


Invoice Tabs Overview

Invoice Details Tab

This tab gives you a granular, line-by-line view of all invoices, making it ideal for reconciliation. For each line item you can view:

  • Itemized charges with pricing

  • Payment method used

  • Reference fields

  • Filter and search options

  • Export to CSV for use in external reporting or accounting tools

Invoices Tab

This tab displays a consolidated list of all invoices. It gives you the same summary view that travelers and arrangers see in their own My Account area.


Invoices Available Only in the Admin Portal

Certain invoice types are exclusively accessible to administrators. These include:

  • Monthly invoices for service fees

  • Annual management fees

  • Periodic service fee invoices

Your company may not receive all of these invoice types. If any of these are unfamiliar, they likely do not apply to your setup.


Filtering Your Invoices

Use the available filters to quickly find what you need:

  • Invoice date: Narrow results to a specific date range

  • Travelers: Look up invoices for a particular traveler

  • Travel product type: Filter by the type of travel booked

  • Payment method: Sort by how the booking was paid

  • Group: View invoices for a specific group or subgroup within your organization

Once you have applied your filters, click the Export CSV button in the upper right corner of the page to download your results.


Downloading Invoices

In some cases, an invoice may not be available to download. This can happen for two reasons:

  • The invoice has not yet been generated

  • The trip was invoiced prior to the most recent platform update

When an invoice is unavailable, the Download Invoice button will appear grayed out. In these cases, contact your Travel Manager directly to request the invoice.
