Creating and Customising Groups (UK)

Set up and manage groups to reflect your company structure and travel policies

As an Admin, you will be able to view and manage groups within the Groups Dashboard. These groups can represent company divisions, entities, or policy settings.

Want to create a new policy group?

There are two simple steps to follow. This article covers Creating a New Group.

Create a New Group

To get started:

  1. Go to the Hey Menu

  2. Select Admin Portal

  3. Click on the Groups tab

From here, you can view your existing groups and subgroups.

  1. In the Groups Dashboard, locate the relevant parent group.

  2. Click the three dots (⋯) next to it.

  3. Select Add new subgroup.

You’ll now be taken to the group setup screen:

Customise Group Settings

Within the group setup screen, complete the following:

Group Name & Description

  • Name – This could be the name of a department, division or a traveller policy (e.g. “Sales Team UK”, “Executives – Global”).

  • Description (optional) – Add a note to help other Admins understand who belongs to this group.

User Type Permissions & Policies

For each User Type, set the relevant permissions and policy settings:

  • Admins – You can also add additional Admins to this group.

  • Trip Arrangers

  • Guest Bookings – Decide whether these users can book for external travellers.

You’ll also see an option to Inherit From Parent:

  • Ticked – Inherits the same settings from the parent group (ideal for subgroups).

  • Unticked – Allows you to create unique permissions and policies for this group (e.g. for a new Policy Group).

Lastly, define the default settings for new users added to this group.

Once you're done, click Next.

Form of Payment

You'll now be asked to select the default Form of Payment for this group.

Note: This cannot be changed within Melon. If you need a different setup, please contact your Corporate Traveller team.

Click Save to create/update your group!
