You can now book up to four rooms in a single search and checkout - designed specifically for Travel Arrangers, helping you complete multi-traveller hotel bookings up to 75% faster.
And don’t worry — nothing changes behind the scenes. It’s still one traveller per booking and managed individually. This is simply a quicker way to get there.
Important Things to Know
Before booking, keep these in mind:
One traveller per room
Room sharing is not supported in this version.
Maximum four travellers
If booking five or more travellers, complete an additional booking.
Example: 6 travellers = 2 bookings or contact your Travel Manager to book as a group.
Payment/configuration compatibility required
All travellers must share the same payment and configuration setup.
If someone doesn’t appear in the traveller dropdown, it’s usually due to configuration/payment differences.
Here’s how to do it.
Step 1: Start Your Hotel Search
On your Melon frontpage, select Hotels
Enter your destination and travel dates
Click into the Traveller field
That’s where Multi-Traveller Hotel booking begins.
Step 2: Adding Multiple Travellers
Search and select your first traveller
Add additional travellers (up to four total)
Each traveller will appear as a tag in the Selected Travellers field.
Tip! You will automatically be selected as a traveller, but if you are only booking for others, simply remove yourself.
As soon as you select more than one traveller:
The number of rooms updates automatically
Each traveller is assigned their own room
You don’t need to adjust the room count manually.
Step 3: Review Your Search Results
Your results page will now show:
Which hotels can accommodate your request
The total number of rooms being booked
Combined pricing for all rooms
Clear alignment between travellers and rooms
On hotel cards, you’ll see:
X Nights / X Rooms / Total Price
This is the total cost for all selected rooms.
Step 4: Select Your Room & Rate
When choosing a room:
Pricing will display as X Rooms / Total Price
You will still see the per-room rate
Each traveller automatically gets their own room
Any room type/rate that cannot accommodate your request will be highlighted and Select button greyed out
Select your preferred available rate and continue.
Step 5: Complete Checkout
Proceed through checkout as normal.
Even though you booked in one flow:
Each traveller receives their own confirmation
Each booking remains separate
Approvals (if required) still apply individually
You’ve simply avoided repeating the same booking multiple times.
FAQ's
What happens if one of the rooms can’t be booked?
If Melon is unable to book one of the selected rooms, you’ll see:
The reason it failed (for example, a price change or no availability)
Which travellers were successfully booked
What you can do next
Where available, you’ll have the option to:
Accept the new price and try again
Select a different available room
You do not need to restart the entire booking.
Melon will:
Continue processing the remaining rooms
Confirm any rooms that were successfully booked
Clearly show which travellers were not booked, and why
This means successful bookings are not affected if one room encounters an issue.
How is payment handled for multiple rooms?
When booking multiple rooms as a Travel Arranger, you select one payment method for the entire booking.
Melon will apply that same payment method to every room, based on:
Your company’s configured payment policy, or
Your saved corporate card (if applicable)
Individual travellers’ credit cards are not available for Multi-Traveller Hotel bookings.
How does travel policy work for Multi-Traveller Hotel bookings?
For Multi-Traveller Hotel bookings, Melon applies the Travel Arranger’s group policy to all selected travellers.
This means:
The arranger’s group policy overrides individual traveller policies
The same policy rules apply across all rooms
Policy controls include:
Maximum room rates and spend limits
Approved hotel chains and properties
Any configured hotel restrictions
All selected rooms must comply with the arranger’s policy settings.
