With Travel Invites, you can:
Invite multiple traveller types together
Allow travellers to self-book within policy
Manage multiple active invites at the same time
Create new traveller profiles during setup
Reduce duplicate data entry with consolidated custom fields
Track booking progress and manage active invites
Accessing and Creating Travel Invites
To access Travel Invites:
Open the Hey Menu
Select Admin Portal
Open the Users tab
Click Travel Invites
From here you can:
Create new invites
View invitations
Track booking progress
Manage active and completed invites
Add a Trip Name
Enter a clear trip name so travellers can easily identify the invite when they receive the email invitation.

Candidate Interview Trip
Project Team Travel
Add Travellers
The Add Travellers section is where you build your invite list.
You can:
Search existing employee profiles
Add existing guest travellers
Paste traveller email addresses
Add travellers manually
Create new travellers during setup
Combine all traveller types within the same invite
Add a Traveller Message
You can include a personalised message for travellers within the invite email.
Use this area to provide:
Booking instructions
Important deadlines
Travel guidance
Internal contact details
Example:
Hi all,
Please book your travel before Friday.
Contact the Travel Team if you need assistance.
Complete Custom Fields
If your company uses custom data capture fields, they will appear at the bottom of the invite setup form.
You can either:
Complete the fields yourself
Allow travellers to complete them during checkout
Typical custom fields may include:
Cost centre
Purchase order number
Approval reference
Reason for travel
Once complete, click Next to continue.
Configure Travel Policy and Booking Rules
Select whether travellers can book:
Flights
Hotels
Both flights and hotels
Flight and Hotel Configuration Options
You can configure:
Number of flights or hotels
Class of service for flights
Travel dates
Origin and destination locations
Spend limits
Travel Policy Options
You can choose to:
Apply your existing company travel policy
Create a custom policy for the invite
Once complete, click Send Invite.
Travellers will receive an email containing a secure one-time booking link to Melon.
Track and Manage Travel Invites
After sending an invite, you can monitor traveller activity and update invite details from the Travel Invites panel.
Filter Travel Invites
Use the filters at the top of the page to search by:
Booking Status
Traveller Status
Traveller Type
You can also search for individual travellers directly within the table.
Manage Existing Invites
Select a traveller row to open the invite.
From here you can:
Edit the invite
Resend the invite
Cancel the invite
